1. Who we are

2. What we collect

• Account details (name, email, store name, authentication identifiers)
• Staff names, phone numbers, roles, and schedule-related settings you enter
• WhatsApp message content necessary for scheduling (availability, confirmations, clock-in/out, and similar operational messages)
• Usage and technical data (logs, device/browser metadata, approximate location from IP)
• Billing and payment metadata processed by our payment partners

3. Why we process it

To provide and improve the Service, authenticate users, send operational messages, support customers, prevent abuse, meet legal obligations, and bill for paid plans. Legal bases include contract performance, legitimate interests in operating a secure SaaS, and consent where required.

4. Where data is processed

We operate from India. Customer and staff data may be transferred to and processed in India and in other countries where our hosting and subprocessors run infrastructure (for example cloud hosting, authentication, email, and messaging providers). Safeguards include contractual obligations with providers, access controls, and encryption in transit. Canadian customers: this cross-border processing is disclosed so you can meet PIPEDA accountability when using our Service for your staff.

5. Subprocessors

We use categories of providers such as: cloud hosting and databases; authentication; transactional email; WhatsApp / messaging API providers; error monitoring; and payment processors. We do not sell personal information.

6. Retention

We retain account and scheduling data while your store is active and for a reasonable period afterward for backups, disputes, and legal requirements. Message logs needed for operations are kept for a limited operational window unless a longer retention is required. You may request deletion subject to legal holds.

7. Security

We use industry-standard measures including encrypted transport (HTTPS), access-controlled systems, and least-privilege credentials. No method of transmission or storage is perfectly secure.

8. Your rights

Depending on applicable law, you may request access, correction, deletion, or export of personal information we hold about you. Store owners control staff records in their account. Email hello@ionai.ca to make a request. We may need to verify identity before responding.

9. Cookies

We use essential cookies and similar technologies for authentication, security, and preferences (such as theme). Analytics cookies, if introduced, will be described here.

10. Children

The Service is for businesses and adult operators, not for children under 16. We do not knowingly collect data from minors as end customers of the Service.

11. Breaches

If we become aware of a personal data breach that requires notification under applicable law, we will notify affected customers and authorities as required.

12. Changes

We may update this Policy and will post the new version with an updated date. Material changes may also be communicated by email or in-product notice.
